These Terms & Conditions apply to appointments and services provided by [FULL LEGAL COMPANY NAME], trading as The Baby Scan Room. By booking an appointment, you agree to these Terms & Conditions. Please read them before booking.

The Baby Scan Room provides private pregnancy ultrasound services within the scope described on the relevant scan page. Our scans are non-diagnostic and do not replace routine NHS antenatal care, diagnostic ultrasound, medical advice, screening or assessment by your maternity team.

You should continue to attend all NHS appointments, screening and diagnostic scans offered to you and seek medical advice from an appropriate healthcare professional when you have a medical concern.

A private scan at The Baby Scan Room must not be used instead of seeking medical or maternity advice. If you have urgent symptoms or concerns about your pregnancy, contact your maternity service, GP, NHS 111 or emergency services as appropriate.

If you are concerned about reduced or changed baby movements, please contact your maternity unit or midwife for advice rather than booking a private reassurance scan.

The service description and minimum gestation shown on the individual scan page form part of these Terms. Current launch services are intended to include: Early Pregnancy Scan from 7 weeks; Gender Scan from 14 weeks; Reassurance Scan from 16 weeks; and 4D Scan from the gestation stated on the current 4D service page.

Gestation is based on the information available at the time of booking and/or assessment during the appointment. If the pregnancy is earlier than expected, the images or information available may be limited.

Appointments may be arranged using the booking methods advertised by The Baby Scan Room. You are responsible for providing accurate contact, pregnancy and appointment information. Please tell us about relevant information that may affect the service or referral process.

A £20 deposit is required to secure your appointment. Any remaining balance is payable using the payment methods accepted by the clinic at the time of your appointment. The website must be updated before launch to reflect the payment methods actually available.

If you cancel or reschedule your appointment with at least 48 hours' notice, your deposit can be refunded or transferred to another appointment. If less than 48 hours' notice is given, the deposit is non-refundable.

If The Baby Scan Room needs to cancel or rearrange an appointment, we will contact you as soon as reasonably possible and offer an alternative appointment or an appropriate refund of sums paid for the affected appointment.

Please arrive on time for your appointment. If you arrive late, your scan may need to be shortened or rescheduled depending on the time remaining and clinic availability. Where an appointment cannot proceed because of a late arrival, the clinic's cancellation/rescheduling terms may apply.

Please follow the preparation instructions given for your chosen scan. For an Early Pregnancy Scan, please arrive with a comfortably full bladder, as this can help us obtain clearer images. Any preparation advice for other scans should be stated consistently on the relevant service page and appointment communication.

The Early Pregnancy Scan is available from 7 weeks and is intended to provide an opportunity to see the pregnancy and provide reassurance within the scope of the service. The current price is £65 and includes 2 printed images. No twin surcharge applies to the Early Pregnancy Scan.

The Gender Scan is available from 14 weeks. Gender determination is highly accurate from 14 weeks, although no scan can guarantee 100% accuracy. If baby's position prevents us from determining gender, we will explain the options available to you before you leave. Where included in the package, a complimentary 4D sneak peek is subject to baby's position allowing suitable images.

The current Gender Scan price is £69. A £10 twin surcharge applies where stated on the service information.

The Reassurance Scan is available from 16 weeks and is a non-diagnostic scan offering an opportunity to see baby, visualise the heartbeat and check baby's position for reassurance within the scope of the service. It must not be used instead of contacting your maternity team about symptoms or reduced/changed movements.

The current price is £69 and includes 2 printed black & white images. A £10 twin surcharge applies where stated on the service information.

The Standard 4D Scan is currently £99 and includes 2 black & white printed images and 2 colour printed images. The Premium 4D Scan is currently £120 and includes a USB recording of the full scan, all digital images, 4 black & white printed images and 4 colour printed images. A £10 twin surcharge applies where stated.

The quality and type of images obtained depend on factors including baby's position and movement. Specific 4D images, facial views or image quality cannot be guaranteed. If baby's position limits the images we can obtain, we will explain the options available to you in accordance with the clinic's current rescan policy.

If, during your scan, we observe something that we feel requires further assessment, we will explain this to you sensitively and follow our established referral pathway to ensure you are directed to the appropriate maternity or healthcare service for further assessment.

A referral or recommendation for further assessment does not mean that a diagnosis has been made by The Baby Scan Room. Further assessment and any diagnosis remain the responsibility of the appropriate healthcare service.

Where it is necessary and appropriate to support a referral, and where required with your consent, we may share relevant personal information, including pregnancy or health information, with the receiving maternity or healthcare service. Information will be limited to what is relevant and necessary and handled in accordance with our Privacy Policy and applicable data protection requirements.

Images and recordings supplied as part of a package are intended for the client's personal use. Availability and quality depend on the scan and baby's position. The clinic may retain appropriate appointment or service records in accordance with its privacy and retention requirements.

Guests are welcome subject to the clinic's current capacity, safety and appointment rules. The person who booked the appointment is responsible for the behaviour and supervision of any children or guests attending with them. The clinic may limit attendance where necessary for safety, privacy or the effective delivery of the appointment.

You are responsible for providing information that is accurate to the best of your knowledge, following appointment preparation instructions, arriving on time, and seeking appropriate NHS or medical care where you have symptoms or concerns. Nothing in a private scan should be treated as a substitute for professional medical advice.

We will take reasonable steps to provide appointments as booked, but appointments may occasionally be affected by circumstances outside our reasonable control, equipment issues, staff illness or other operational problems. Where this happens, we will try to rearrange the appointment or provide an appropriate remedy.

If you are unhappy with any aspect of your experience, please contact The Baby Scan Room using the details below so that we can review your concern. Complaints will be handled under the clinic's current complaints procedure and any applicable regulatory requirements.

Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation. Nothing in these Terms affects your statutory consumer rights.

We may update our services, package contents, prices or these Terms from time to time. The terms and price applicable to your booking will normally be those communicated or published when the booking is made, subject to any change agreed with you.

These Terms are governed by the law of England and Wales. Any dispute will be subject to the courts that have jurisdiction under applicable consumer law.
